HOTEL POLICIES

General Policies

• A valid government-issued photo ID (driver’s license, state ID, or passport) and a credit card matching the name on the ID are required at check-in. Photocopies or photos of ID on a cellphone are not accepted. All guests must be registered through the Front Desk.
• All guests must be 21 years of age to check-in. Exceptions: Active military and first responders over the age of 18, with valid military ID. We appreciate your service!  
• Cribs and Rollaway beds are NOT available. 
• All special requests are subject to availability upon check-in. Special requests made via third party websites (such as Booking.com or Expedia) cannot be guaranteed and may incur additional charges.
• Friendly dog breeds under 35 pounds are welcome, but must be registered in writing and declared at time of check-in. There is a $15 fee per night, per dog. If your dog is aggressive in any way, or disturbs the quiet enjoyment of our other guests, we reserve the right to terminate your stay for violation of this policy. Refunds, if any, are at management’s discretion. Dogs may not be left unattended in guest rooms. Dogs (or any other animals) may not be left inside of your vehicle. 
• Check-in time is 3 PM to 9 PM unless other arrangements have been made and approved PRIOR to your arrival date. We cannot accommodate arrivals after midnight. 
• Check-out time is 11 AM. Guests occupying the room after 11:00 am will be charged an additional night’s room rate plus applicable taxes.
• Thunderbird Lodge uses traditional brass room keys that cannot be electronically deactivated. For security purposes, any lost or unreturned room key requires the lock to be re-keyed. A $150 lock-change fee will be charged to the card on file to cover the cost of re-keying and securing the guest room. By renting, reserving, or occupying a room at Thunderbird Lodge, guests acknowledge and agree to all posted property policies, including this key policy. 
• For your safety all reservations made for Thunderbird Lodge must be guaranteed to a major credit card and you will need to show that credit card matching your photo ID at check-in. Upon check-in we will authorize your credit card for the entire amount of your stay plus $100 to cover possible incidentals, which may include but are not limited to: room damage, phone calls, pet fees, extra person charges.  
• Thunderbird Lodge does not accept postage mail/ packages for current or future guests. Items sent will be returned to sender.  
• We provide complimentary parking. Please be sure to lock your vehicle and remove any valuables. The property is not responsible for loss or damage to vehicles or personal property.
• All vehicles must be registered through the front desk. Abandoned vehicles or unregistered vehicles will be towed at the owner's expense. Vehicles must be removed by the 11:00 am check-out time.  
• We do not permit open carry of firearms in public spaces. 
• We do accept cash and debit cards, with a refundable deposit of $200 and up. Deposits are refunded upon your departure after cleared room inspection. Deposits may be retained if additional cleaning or remediation is required due to smoke, strong odors, damage, or other policy violations.
• By renting, reserving, or occupying a room at Thunderbird Lodge, guests acknowledge and agree to all posted property policies and authorize applicable charges, including but not limited to damages, cleaning, lost key fees, and other policy violations, to the card on file.

Non-Smoking Policy

Thunderbird Lodge office and first building are designated nonsmoking. Smoking is allowed only in designated kitchen studio units away from the nonsmoking buildings. If it is discovered that a guest smoked in a room or if the room smells of any type of smoke product, a cleaning fee of $350 will be charged to the guest's card on file and the guest will be asked to leave immediately without refund. Smoking includes the use of cigarettes, cigars, e-cigarettes, vaping or medicinal marijuana. These are permitted only inside designed smoking units. Smoking outside near AC units will incur a fine of $350. Since the AC circulates air from the outdoors in, it's the same as smoking inside of the room. Should you have a deposit on file, we reserve the right to hold your deposit if heavy perfume (or various scents) are used to mask the odor of smoke inside of the room. 

Cancellation Policy

If you wish to cancel your reservation, normally you will need to contact the hotel directly 24 hours prior to the day of your arrival. Special event weekends (ie. OU football & graduation weekends) require a 7-day cancellation. Failure to cancel will incur charges for the first day of your reservation along with taxes. Those who make a reservation and do not show up for the reservation, your card will be charged the first day of your reservation along with taxes, and the remainder of reservation will be cancelled. When we hold a room for you, it prevents us from having the opportunity to rent to another interested party. 

To cancel a third-party company reservation (ie. Expedia, Hotels, Priceline, Booking.com, etc), please contact that company directly and they will assist you in the cancellation. 

Pet Policy (small/medium dogs only, no cats or other animals)

We know that your four-legged companions are part of the family and they are welcome to stay with us if they are well-behaved and don’t disturb other guests. We accept non-aggressive dog breeds (under 35 lbs) at a nonrefundable fee to $15 per day, per dog (up to two dogs in a room). We are sorry that we currently cannot accept cats or other animals. Dogs that are slightly larger will be reviewed on a case by case basis, and may be charged a refundable deposit, if permitted.  Dogs must be registered in writing and declared at the time of check-in. We reserve the right to ask you to leave, with no refund, if your dog is aggressive in any way, or disturbs the quiet enjoyment of our other guests. Dogs may not be left unattended in guest rooms. Dogs (or any other animals) may not be left inside of a vehicle. 

Out of respect to people allergic to dogs, dogs are only permitted in dog- friendly rooms (a designated number of select units with a kitchen studio). Since there is only a limited number of these units, please speak to and notify Front Desk that you will be traveling with a dog PRIOR to your arrival to guarantee a reservation. Sneaking in a pet into a non-pet friendly unit will result in a multitude of cleaning fees. Any type of damage to the room done by a pet is the responsibility of the guest, to be taken care of at the time of discovery. If your dog is causing a noise disturbance, you will get ONE warning to quiet your pet; after that, you and your pet will be asked to leave without refund. 

Should you need local vet or dog store recommendations, please contact the Front Desk. There is an acre of land at the entrance of the property for your pup to run, play, and enjoy! Dog bowls and doggie bags are available to clean up after your pet.
